City Cleaners Group — Privacy Policy Last updated: 25 August 2026
1. Who we are
City Cleaners Group is a trading name of WSBO Ltd (“we”, “our”, “us”). If you book a clean with us, WSBO Ltd is the company you are contracting with, and we are the “data controller” for the information you give us. You may still see our previous trading name, NG1 City Cleaners, on some pages and messages while we complete our rebrand — it’s the same company either way.
- Company: WSBO Ltd, trading as City Cleaners Group, registered in England and Wales, company number 16532524
- Registered address: The Office, Gothic House, Barker Gate, Nottingham, NG1 1JU
- ICO data protection register number: ZA250258
- Email us about anything in this policy: info@ng1citycleaners.co.uk
We don’t have a separate Data Protection Officer — we’re a small business, and privacy questions go straight to the same inbox as everything else. You’ll get a person, usually within one working day.
2. The short version
We know nobody enjoys reading these. So, plainly:
- We do not sell your data. Ever.
- We do not share your name, phone number or email with advertising companies, marketing companies, data brokers or anyone who wants to sell you something.
- We collect what we need to quote your clean, turn up and do it, and get paid.
- We use Google Analytics, Microsoft Clarity and Google Ads to understand how our website is used and whether our advertising works. These see how the website is used — they do not receive your name, phone number or email address.
- One reply to any message from us stops all marketing, permanently.
- You can ask us to delete everything we hold about you, and we will.
The rest of this policy is the detail behind those points.
3. What we collect
When you use the price calculator or a contact form:
- Your property address and postcode
- Number of bedrooms and bathrooms, how often you want cleaning, the service level and any extras
- Your first name
- Your mobile number and/or email address — whichever you choose to give us
- For commercial enquiries: your company name, premises type, approximate desks and floors
When you become a customer:
- Access arrangements and any notes you give us about the property
- Records of the work we’ve done, when, and by whom
- Invoices, payments and payment history
When you contact us:
- The content of emails, texts, live-chat conversations and calls, and the time and date of them
- Voicemails you leave, and notes taken during calls
Automatically, when you browse the site:
- IP address, approximate location (usually “Nottingham” level), browser and device type, operating system
- Which pages you visited, in what order, how long you spent, and where you arrived from
- Whether you arrived from one of our Google adverts, and which search term brought you
We never ask for and never store: card numbers, bank details, dates of birth, or any identification documents. Payments are handled entirely by Stripe and GoCardless (see §5).
4. Session recording — please read this one
We use Microsoft Clarity to record how people use our website. This means that, on an anonymous basis, we record mouse movements, taps, scrolling and which fields were filled in, and can play the visit back as a video-like recording. We use this only to find broken and confusing parts of our own website — for example, to work out why people abandon the quote form.
- Recordings are not linked to your name, phone number or email.
- Text you type into form fields is masked in the recording — we see that a field was filled, not what you typed into it.
- We do not use this to build a profile of you or to target advertising.
Microsoft’s privacy statement: https://privacy.microsoft.com/privacystatement If you’d rather not be recorded, see §9 on how to block these cookies.
5. Who we share it with — and who we don't
We do not sell your personal data. We do not share it with advertising networks, marketing companies, lead-generation companies or data brokers. We do not add you to anyone else’s mailing list.
We do share it, only as far as necessary, with the following service providers who help us run the business. These are “processors” — they act on our instructions and cannot use your data for their own purposes:
| Who | What they get | Why |
|---|---|---|
| Jobber | Name, contact details, address, job details | Quoting, scheduling and job records |
| Xero | Name, contact details, invoice details | Invoicing and accounts |
| Stripe and GoCardless | Payment details you enter directly with them | Taking payment securely |
| Google Maps / Places | The address text you type into the address box | Address autocomplete, so you don’t have to type it all |
| Tawk.to | Live-chat messages, IP address | Running the chat widget on our site |
| Our phone providers (Dialpad and our call-answering service) | Call records, voicemails, messages you leave | Answering and returning your calls |
| Our cleaning team | Your address, access notes and job details — not your payment details | So they can turn up and clean |
We also use Google Analytics, Microsoft Clarity and Google Ads to measure website use and advertising performance. These receive website-usage data — they do not receive your name, phone number, email address or the contents of your enquiry.
We additionally use Burst Statistics, a visitor-counting tool that runs on our own website and stores its data on our own server. Nothing from Burst is sent to a third party.
Beyond that, we will only disclose your information where we’re legally required to (for example, to HMRC, a court, or a regulator), or where we need to establish or defend a legal claim. If we ever sold the business, customer records would transfer to the buyer — and we’d tell you before that happened.
6. Why we're allowed to use it (lawful bases)
- To perform our contract with you — quoting, scheduling, cleaning, invoicing, and dealing with problems. This covers most of what we do.
- Our legitimate interests — keeping the website working, preventing fraud, improving our service, and following up on an enquiry you made. We balance this against your rights, and you can object at any time.
- Your consent — for marketing messages, and for non-essential cookies. You can withdraw consent at any time and we’ll stop immediately. Consent is not buried: replying “stop” to any message, or emailing us, is enough.
- Legal obligation — keeping accounting records, and anything else the law requires.
On marketing specifically: if you ask for a quote, we’ll follow up about that quote. That is us answering your enquiry, not a marketing campaign. We will not add you to a general marketing list without asking, and one reply telling us to stop ends everything, permanently.
7. Where your data is held
Our website is hosted in the United Kingdom — in London, on SiteGround’s platform running on Google Cloud. Some of the service providers listed in §5 store data in the European Economic Area or the United States.
Where data goes outside the UK, we rely on either (a) UK “adequacy regulations”, meaning the government has decided that country protects data properly, or (b) the UK International Data Transfer Agreement or Addendum, which contractually requires the same standard of protection you’d get here.
8. How long we keep it
- Enquiries that never became a booking: 12 months, then deleted.
- Customer records: for as long as you’re a customer, and 12 months after your last clean.
- Invoices, payments and accounting records: 6 years after the end of the relevant financial year, because HMRC requires it.
- Website analytics and session recordings: Microsoft Clarity retains data for up to 13 months; Google Analytics is set to retain for 14 months.
- Live-chat transcripts and call recordings: 12 months.
9. Cookies and similar technologies
A cookie is a small file stored by your browser. Here’s what’s actually on our site:
Strictly necessary — these make the site work:
| Name | Set by | Purpose | Lasts |
|---|---|---|---|
litespeed_qc_hide_banner |
Our website | Remembers you dismissed a notice | Session |
ng1_price_lock |
Our website | Holds the quote you were shown so the price doesn’t change between visits — see below | 14 days |
__ng1_o95_js |
Our website | Remembers progress through the commercial survey booking form | Session |
Analytics — these help us understand how the site is used:
| Name | Set by | Purpose | Lasts |
|---|---|---|---|
_ga, _ga_CTD3YVV8MS |
Google Analytics | Counts visits and pages viewed | Up to 2 years |
_clck, _clsk |
Microsoft Clarity | Session recording and heatmaps (§4) | Up to 1 year |
burst_uid |
Burst Statistics (our own server) | Counts visits without sharing anything externally | Up to 1 year |
Advertising — these tell us whether our Google adverts worked:
| Name | Set by | Purpose | Lasts |
|---|---|---|---|
_gcl_au, _gcl_aw, _gcl_ls |
Google Ads | Records that a visit came from one of our adverts, so we know which adverts lead to enquiries | Up to 90 days |
Live chat:
| Name | Set by | Purpose | Lasts |
|---|---|---|---|
twk_uuid_*, TawkConnectionTime, twk_token_* |
Tawk.to | Keeps your chat session going | Up to 6 months |
About ng1_price_lock, because it affects the price you see: when you get a quote, we store a
reference on your device so that if you come back within 14 days you’re shown the same price you
were originally quoted, rather than a different one. It holds a pricing reference only — no name,
no contact details. If you clear your cookies you’ll simply get a fresh quote at current prices.
Turning cookies off: every modern browser lets you block or delete cookies, usually under Settings → Privacy. Blocking the strictly necessary ones will stop the quote calculator working properly. Blocking the analytics and advertising ones won’t affect your experience at all. You can also opt out of Microsoft Clarity and Google Analytics specifically via the links in §4 and §5.
10. Your rights
Under UK data protection law you can ask us to:
- Tell you what we hold about you, and give you a copy
- Correct anything that’s wrong or incomplete
- Delete what we hold (“right to be forgotten”)
- Stop or restrict how we use it
- Send it to you or another provider in a portable format
- Stop marketing to you — always, immediately, no questions
- Object to us relying on legitimate interests
Email info@ng1citycleaners.co.uk and we’ll respond within one month. It’s free. We may ask you to confirm who you are first, so we don’t hand your data to someone else.
We do not carry out automated decision-making that produces legal or similarly significant effects about you. Our quote calculator prices a clean based on the property details you enter — bedrooms, bathrooms, frequency and extras — and not on anything about you personally.
If you’re unhappy with how we’ve handled your data, please tell us first and we’ll try to put it right. You also have the right to complain to the Information Commissioner’s Office at any time — ico.org.uk, or 0303 123 1113.
11. Children
Our services are sold to adults and our website isn’t aimed at children. We don’t knowingly collect data about anyone under 18.
12. Changes to this policy
If we change this policy we’ll update the date at the top and, where the change matters, tell customers by email. This policy was last updated on 25 August 2026.
13. Links to other websites
Our site links to other websites we don’t control. This policy doesn’t cover them, and we’d encourage you to read theirs.
